Operator, tutorial and work queues
Let the assistant work the real screens while you watch and take over at any step, learn a task in tutorial mode, and act on many waiting records at once.
What it is
Three ways the assistant works with you on the real app, not in a separate chat box:
- Operator mode — the assistant opens menus, searches, fills fields and presses buttons on the screen beside the chat, step by step, while you watch. You can pause, take control or stop at any moment.
- Tutorial mode — the assistant shows you each step on the screen and explains why; you do the clicks and typing yourself. With Operator also on, it does each step and explains it as it goes.
- Work queues — the records waiting on you (orders to approve, bills to approve, quotations to accept) appear as a list in the chat. Tick some or all, run one action on them, and see each record's outcome.
Who it is for
- New staff learning how a task is done in this app.
- Busy owners and managers who want routine screen work done while they watch.
- Approvers who clear many waiting orders, bills or returns at once.
- Anyone who prefers to say what they want rather than look for the menu.
Before you start#
- The assistant needs an AI model (the included one or your own — see AI assistant).
- Operator and tutorial mode work in half screen, so the page and the chat sit side by side.
- You need the rights for the task itself: the operator presses buttons as you, with your rights.
Step by step#
- Open the assistant and switch on Operator mode (or Tutorial mode) in the panel.
- Say what you want done, for example "make a purchase order for 20 boxes of A4 paper from our usual supplier".
- Watch the steps: a line under the chat says what it is doing ("Operator · opening Purchase orders", "Operator · filling Supplier").
- When it is about to press a button that saves or changes something, answer Allow or Not now.
- Press Pause, Take control or Stop at any time; after you take control it looks at the screen again and goes on from what you did.
- Read the summary of what was done when it finishes.
How operator mode behaves#
- It works from a map of every screen — its menus, views, filters, fields, required fields and buttons — so it does not guess where things are.
- Anything that saves waits for your OK. The press is made as you, with your rights, and the result is recorded in the AI activity log.
- Passwords and sign-in codes are never typed by the operator.
- It stays inside the app's pages.
- Operator speed can be set to Human, Fast or Instant.
How tutorial mode behaves#
A lesson card shows the plan and Step 1 of 5-style progress. For each step it points at the place on the screen and tells you what to do ("Your turn: click “Approve”"). Press Next when you are ready, Skip this step to move on, Pause to stop for a while, or Read aloud to hear the step. At the end, What we did lists the steps so you can Try it yourself next time.
How work queues work#
Ask "what is waiting for me?" or "which sales orders need approving?". The queue shows the waiting records with Select all and Actions for the selected. Each record goes through its own rules, and a refusal on one never stops the others. After a run you are offered the next step ("Next step: Pick — 4 ready"). Show me on the screen opens the same list on the page instead.
| Queue | Actions |
|---|---|
| Sales orders | Approve, Pick, Deliver & invoice, Close, Cancel, Reopen |
| Purchase orders | Approve, Close, Cancel, Reopen — then receive the goods on each |
| Transfer orders | Approve, Close, Cancel, Reopen — then send and receive the stock |
| Stock adjustments | Approve (moves the stock and posts the journal) |
| Bills | Approve — then pay each |
| Sales returns | Approve (makes the credit note) |
| Quotations | Mark sent, Accept, Reject, Expire, Cancel — then make the order or job |
| Ads health | Propose the fix, Ignore |
Actions are confirmed first, and ask for a reason where the screen would (a cancel or a close, for example).
How it posts to the books#
Nothing posts differently because the assistant did it. Approving a stock adjustment moves stock and posts its journal; delivering and invoicing posts revenue, receivables and cost of goods sold; approving a bill makes it payable — exactly as when a person presses the same button.
Limits and what is not there yet#
- Operator and tutorial mode need a desktop or laptop window wide enough for half screen.
- A list without row selection has no bulk actions; the assistant opens each record instead.
- A waiting operator run expires after 15 minutes; ask again to continue.
Questions#
Can the operator approve something without me?
No. Every press that saves or changes something waits for Allow, and it acts with your own rights and approval limits.
What happens if I click on the screen while it works?
It notices that you took control, stops that step, looks at the screen again and goes on from there without redoing what you did.
Does tutorial mode change any data?
Not by itself: in tutorial mode you do the clicks. Only with Operator also on does it do the steps for you, still asking before anything saves.
Why did one record in my selection fail?
Each record is checked by its own rules — for example an approval limit or stock that is no longer there. The others still go through, and the failed one shows its reason.
