What it is

This guide takes a new business from sign-up to its first documents. The order matters: the business's country and type set sensible defaults, the setup decides which menus you see, and opening balances give your stock and books a correct starting point.

Your business works in its own isolated database. You are its owner, with every right; people you invite later get only the rights you give them.

Who it is for

  • Owners opening a new account
  • Bookkeepers or consultants setting up a business for a client
  • Businesses moving from spreadsheets or other software

Step by step#

  1. On the website, sign up with your business name, your name, your e-mail address and a password of 10 to 128 characters, and choose your country and type of business.
  2. Open the confirmation e-mail and choose Confirm my e-mail — the link works for 7 days. The e-mail also gives your business ID.
  3. Sign in. One account can belong to several businesses; after sign-in you choose which one to open.
  4. On Dashboard › Overview, use the Getting started card: choose Set up to accept the suggested business type, or Choose another.
  5. Open Settings › Business setup and check the mode and the features switched on.
  6. Fill in Settings › Business info — address and tax registration — and add your Logo.
  7. Add your products (or import them) and your customers and suppliers.
  8. Set your opening balances in Accounting › Opening balances.
  9. Record your first purchase and your first sale.
  10. Invite your team in Settings › Users.

What your new business already has#

Sign-up uses your country to set the currency, time zone, fiscal year, date and number formats, language, accounting framework and the country's sales tax. It creates:

  • your first location (Head office);
  • a chart of accounts from a standard template, with Cash on Hand and a Bank Account;
  • payment terms, payment methods linked to those accounts, shipping methods and weight units;
  • product categories, variant attributes and price lists suited to your type of business;
  • your country's localisation pack, where one exists, switched on.

Everything else starts empty — your own data is the only data in it. Change any of these defaults later in Settings.

Choose how your business works#

Settings › Business setup sets the mode, which decides the steps of a sale:

ModeSteps
Counter / retailInvoice → Payment
Direct billingOrder → Invoice → Payment
Trading (B2B)Quotation → Order → Invoice → Payment
DistributionQuotation → Order → Pick → Pack → Delivery → Invoice → Payment
ServicesLead → Quotation → Job → Schedule → Invoice → Payment
ManufacturingOrder → Work order → Pick → Delivery → Invoice → Payment
EverythingEvery stage and module — switch off what you don't use later

Below the mode, switch features on or off: leads, quotations, jobs, subscriptions, several units per product, batch and lot tracking, serial numbers, wholesale prices, production, work-centre costing, online quotations, the offline till, and bins and scanning. Switched-off stages leave the menus, so a small shop sees a short menu and a distributor the full chain. For the detail of each sales process, see Sales processes.

Settings › General holds the larger switches — Where you sell (online turns the store integrations on), Several locations, Production, Payroll, Accounting and Integrations — and the region, currency and document number formats.

The Getting started card#

Once a business type is chosen, the card becomes a checklist. It always includes:

  • Add your business details and tax registration
  • Add your products (or import them)
  • Add your customers (or import them)
  • Set your opening balances (bank, customers, suppliers, stock)
  • Make your first sale
  • Invite your team

Each type adds its own steps — for example price lists, credit limits, bins and reorder points for a distributor; the till for a shop; a web store and a courier for an online seller; a first bill of materials and work centres for a manufacturer; the expiry watch for a pharmacy. Steps tick themselves when your data shows they are done, or you can tick them by hand; Hide removes the card.

On a desktop or laptop, the assistant also opens by itself in a new account with its first steps for your business. You can turn that off from the assistant.

Bringing in your data#

  • Products: Inventory › Products › More › Import products… reads a CSV file and reviews every row before saving; Import opening stock… brings in quantities.
  • Customers and suppliers: add them on Sales › Customers and Purchasing › Suppliers, or import them.
  • Opening balances: bank and cash, what customers owe, what you owe suppliers, and the stock value on your conversion date. Only the owner can do this. Until you go live, stock counts set the starting stock without touching profit and loss.

Your first documents#

  • Buy: create a purchase order, receive the goods, and record the supplier's bill (see Purchase orders) — or record bills only, if you chose that.
  • Sell: make a sale the way your mode works — at the till, as a direct invoice, or as an order through to invoice — then record the payment.
  • Then open Dashboard › Overview and Reports to see the figures your documents made.

Questions#

Can I change the mode later?

Yes. Change it in Settings › Business setup at any time; your documents and data are kept.

Can I try it with sample data?

Sample data is loaded only into separate demo businesses, never into your own, so your books stay clean from day one.

I did not receive the confirmation e-mail. What now?

Check your spam folder. The link works for 7 days; after that, contact support for a new one.

Do I have to set opening balances?

If you bring in stock, customer or supplier balances, yes — they give the books a correct starting point. A brand-new business with nothing to bring in can skip it.
